# Set a schedule for an activity

Updated 2026-10-15 by the TicketPa team. Source: https://ticketpa.com/help/set-a-schedule

A schedule says when an activity runs, like weekdays at 10:00 and 14:00. TicketPa turns it into time slots, the times guests book, for the next 120 days, and adds the next day every night.

An activity booked at a free time with your staff has no schedule. Guests book any free time in your staff's hours instead. See [Set up appointments](https://ticketpa.com/help/set-up-appointments).

## Steps to add a schedule

1. Go to **Activities** in the sidebar, open the activity and select the **Schedule** tab.
2. Select **Add schedule**.
3. Choose the **Days** it runs. Monday to Friday are picked to start with.
4. Set the **Start times**. Select **Add time** for another one, up to 24.
5. Pick the **First day**. Pick a **Last day** if it stops, or leave it empty to keep it running.
6. Enter the **Places in each time slot**.
7. Leave **Create time slots from this schedule** ticked.
8. Select **Add schedule**.

The message at the top says how many time slots were added, and you see them in the **Calendar**.

Times are in the timezone the window names: the activity's location's, or your business's when it has no fixed location.

## Use more than one schedule

Add a schedule for each pattern, like weekends at other times, or a summer season with its own **First day** and **Last day**. If two schedules want the same start time, there is still one time slot. The schedule with the earlier **First day** sets its places, or the one added first when both start on the same day.

## Change, pause or remove a schedule

- **Change**: select the pencil icon, make your changes and select **Save schedule**. Upcoming time slots follow: new times are added, times you dropped go, and the new number of places applies.
- **Pause**: edit it and untick **Create time slots from this schedule**. It shows **Paused**, its upcoming empty time slots go, and no new ones are added until you tick it again.
- **Remove**: select the trash icon, then **Remove schedule**.

In all three cases, time slots with bookings stay, even when every booking was cancelled, and their places never go below the places booked. Time slots you changed by hand in the calendar stay exactly as they are.

> **Note:** Changing or removing a schedule never cancels bookings. To call off a booked time slot, cancel it from its guest list. See [Cancel a time slot](https://ticketpa.com/help/cancel-a-time-slot).

## Frequently asked questions

### Why are there no time slots after 120 days?

TicketPa creates time slots 120 days ahead and adds the next day every night, so the calendar always runs about four months ahead.

### Do schedules skip holidays?

They skip closed dates. Close the days first, and no time slots are created on them. See [Close dates for holidays and days off](https://ticketpa.com/help/close-dates).

### Why were some time slots left out?

Equipment, spaces and staff never stop a time slot being created. While what the activity uses is taken, the time slot shows as full on your booking page. See [Manage equipment and spaces](https://ticketpa.com/help/resources).
