# Check guests in

Updated 2026-10-14 by the TicketPa team. Source: https://ticketpa.com/help/check-in-guests

Check guests in on the time slot's guest list as they arrive. Your team then sees who is here, who is still to come and what is left to collect.

## Open the guest list

- On the **Dashboard**, select a time slot under **Today's time slots**.
- In the **Calendar**, select a time slot, then **Guest list**. Owners and managers have the calendar.
- On a booking's page, select **Guest list** under its time.
- On a scanned ticket, select **Guest list**. See [Scan tickets](https://ticketpa.com/help/scan-tickets).

At the top, **Checked in** shows how many guests are in so far, and **To collect** shows what is still to pay. The list refreshes every 20 seconds, so several people can check guests in at once. With more than 4 bookings, a search box finds guests by name or reference.

Appointments have no guest list. Check the guest in by scanning their ticket, or by typing their booking code on the **Check-in** page. See [Scan tickets](https://ticketpa.com/help/scan-tickets).

## Steps to check guests in

1. Find the guest on the guest list.
2. Check them in:
    - **Check in**: checks in everyone on the booking.
    - **Some**: for a group that arrives bit by bit. Set **Guests here** and select **Check in** with the number, like **Check in 2**. The booking shows "2 of 4 in". When the others arrive, select **Check in the rest**.
3. If the guest still has something to pay, select **Take payment**. Choose how they paid under **How the guest paid** (**Cash**, **Card on site** or **Bank transfer**), check the **Amount** and select **Record payment**.

To take back a check-in made by mistake, select **Undo**. It takes back only the last check-in: if the group came in bit by bit, the count goes back to what it was before, like "1 of 3 in now". Undoing the first check-in puts the booking back to **Confirmed**, with nobody checked in. To set how many are in yourself, use **Some** instead.

## What the guest list shows

- Each guest's status, the booking reference, how many guests, what they booked, the equipment and spaces they hold (like **2 × Kayaks** or **Court 2**), their phone number and any notes.
- **Walk-in** for guests added on the day, and an amount followed by "to pay" when something is still owed.
- When the activity has a waiver: **Waiver signed**, **Waiver not signed**, or **Waivers** with how many of the group signed, like "Waivers 2 of 4". A missing signature doesn't stop check-in. See [Ask guests to sign a waiver](https://ticketpa.com/help/waivers).
- Bookings still on hold or awaiting payment show "Not confirmed yet" and can't be checked in.

> **Note:** Check-in opens on the day of the time slot. Before that, the guest list shows **Check-in opens on the day**, and you can see who is coming.

Like check-in, **Take payment** works from the day of the time slot. Owners and managers can also select a guest's name to open their booking.

## Frequently asked questions

### Can I check in a guest marked as a no-show?

Yes. Select **Check in** next to their name. The check-in replaces the no-show. See [Mark no-shows](https://ticketpa.com/help/no-shows).

### Does checking in send the guest anything?

No. Checking in sends no email. It does decide who gets a review request after the time slot, when you've set a review link.
